  • 1.  Looking for Suggestions for Secure Document sharing

    With email hacking on the rise, we are looking to implement a platform for Document sharing.  This would include items such as Vendor invoices and bank information but we do not want to limit it to just this.  We would like to use it across the company for sharing documents with ones outside the company as needed.

    Hi Shelly,

    I work for an ISV that handles AP automation (specifically for GP), and we could certainly help you out with much of this.

    We're able to capture invoices, send them out for an approval, store them in a secure place, and export the data into GP as part of a simple process.

    On the payment side we're also able to capture vendor ACH info and store it in an encrypted at rest, secure, location for payment disbursements.

    Hi Shelly,
    What functions outside of document storage and sharing (internal and external) are you looking for?  Do you need to allow for signatures, workflows, OCR, or just some storage with searching and sharing?

    If you are looking for just standard storage, you can look at something like OneDrive/SharePoint or some online storage.  These might be tied to other company resources (OnrDrive and SharePoint are part of Office 365) and you can manage who can see what files.  If yo use the Google Suite of products, Google Drive is their product, or another online sharing platform like Dropbox or Box are the same in terms of general storage and sharing functionality.

    If you need more like workflows, the other products mentioned might be better.  Adobe or Docusign for signatures.  There is other way to send secure emails with file attachments as well.  Zix is something I have used in the past as a recipient for encrypted emails and attachment sending.

    In any case, really sensitive information like Bank details, and things like that, I would caution on putting in any online platform as there is always a risk of those platforms being hacked, and even if you are not the target, some other company using that platform could be and there could always be that possibility of the attack jumping from another account.
