Variable Allocation Accounts-Manual Journal Entries

    Hello,
    I tried to post a manual entry to a variable allocation account and the end result didn't produce what I was hoping. The amount posted to the account remains in the account because the allocation to the distribution accounts did not run. Can manual entries be posted to variable allocation accounts or do the entries have to come through the modules: Purchasing, Sales, Payroll and Inventory only?

    Hi Silvia,

    At any rate, the variable account itself does not hold any value... in fact GP gives out an error when you try to load it in the Detail Inquiry window...


    For my testing, I'm using the default Fabrikam variable allocation account 000-6180-00. I did have to post values in the breakdown accounts first as they were empty.

    For the first edit list, I had the "show breakdown allocation" checked in the Batch Entry window...

    Do the variable allocation accounts have unit accounts assigned to them that actually have values? If not, the variable allocation actually has no information available for making the distributions. I have used them in the past to distribute expenses by department based on head count and as long as the unit accounts (number of people in each department) had a value, manual and automated posted worked fine. If the unit account has a zero balance though, no allocation is made to that unit account.

    Just to add...

    In my prior example, the break down unit accounts had the following balances, so the $2000 base value got split to... :

    100-9010-00 = 10 >> 10/100 >> $200
    200-9010-00 = 10 >> 10/100 >> $200
    300-9010-00 = 10 >> 10/100 >> $200
    400-9010-00 = 10 >> 10/100 >> $200
    500-9010-00 = 10 >> 10/100 >> $200
    600-9010-00 = 50 >> 10/100 >> $1000

    So now, I've moved the balance from the 200 account to 300... to make it a zero balance unit account...

    100-9010-00 = 10 >> 10/100 >> $200
    200-9010-00 = 10 - 10 >> 0/100 >> $0
    300-9010-00 = 10 + 10 >>  20/100 >> $400
    400-9010-00 = 10 >> 10/100 >> $200
    500-9010-00 = 10 >> 10/100 >> $200
    600-9010-00 = 50 >> 10/100 >> $1000
