    Hello all.

    I am having problems getting the workflow messaging to work consistently. The odd things is that it works intermittently, and without making any changes, it suddenly starts/stops working. Mostly it does not work.

    We are using GP 2016 and MS Exchange 2013 (onsite server).

    Does anyone know how I can trouble shoot the behind the scenes message delivery? I'm pretty certain it is not a Workflow setup issue, because when it works, everyone gets the correct emails. Below are the steps I've taken to troubleshoot this issue:

    1. Double checked the Workflow email setup in Setup -> System -> Workflow Setup. When I click the "Test E-Mail" button on that screen it be successful sometimes, but mostly it does not work.
    2. Configured the workflow process for PO's in Setup -> Company -> Workflow -> Workflow Maintenance. I've created a Workflow and Workflow Step for processing a PO.
    3. Checked that users are configured for active directory in Setup -> System -> User -> Directory Account. Not every user is setup, but all the ones that will use the workflow are setup.
    4. Used the EWSEDITOR to check the Exchange connection from my workstation and the SQL Server. Both tests connected successfully.
    5. Checked the SQL server and the Exchange server logs for any errors or warnings related to email. I have not found any related entries.
    6. When a PO is created and the Workflow "Submit" button is clicked, the PO is created, but only on a few instances were emails notifications generated. I have Send Notifications turned on for Submit, Resubmit, Approve, Task Complete and Reject. Only three out of about 20 attempts did emails get sent for any of these actions.

    Daniel, check the Event Log on the server where Web Services is running for any service stops or restarts.  Also check the Web Console on that same server for possible clues.
    If you have Antivirus running on that server, either make an active (on-access) scanning exception for the folder containing the executables or turn off AV temporarily and try the process again.

    Hi Charles. Thanks so much for the reply.

    I had a break through late Friday afternoon, and I have the emails working consistently when submitting the initial workflow. I did this by adding the GP/SQL server IP address to the "Internet Receive Connector" on the Exchange Server. This effectively allows the Exchange server to accept email from the GP/SQL server. After doing that, emails flowed without an issue.

    The problem at this point is that E-Mail Action Notifications do not get sent. So when actions like Submit, Resubmit, Approve, Reject or Task Complete happen for a workflow task, no Workflow Action notices are sent.

    I'm thinking that something similar needs to be configured on the Exchange Server, since the E-Mail Actions uses port 48620 instead of port 25.

    Do you have any insight into this part of the workflow? I'm continuing to research it, but appreciate any assistance you can offer.


    Regarding your reply:

    You mentioned a "Web Console" on the Web Services server. What web console do you mean? Do you mean the Dynamics Web Services Exceptions Console?

    I should have mentioned that I already looked at the anti-virus (AV) issue. I already temporarily disabled the AV software on our SQL server. So I'm fairly certain this is not the problem. I also scoured the event logs on both the GP/SQL server and the exchange server, and see no alerts related to Web Services or Work Flow.

    Just wanted to follow up with how this situation was resolved.

    The problem was two-fold: E-Mail for Workflow was not working ("You have a task assignment..." email), AND the E-Mail Action notifications ("Document x has been...") were not working. (Tools -> Setup -> System -> Workflow Setup)

    E-Mail for Workflow was resolved by adding the GP/SQL server IP address to the "Internet Receive Connector" on the Exchange Server. This effectively allows the Exchange server to accept email from the GP/SQL server. After doing that, the "You have a task assignment..." emails flowed without issue.

    The E-Mail Action notifications issue was resolved by creating my own message for Workflow Completion (Tools -> Setup -> Company -> Workflow -> Email Message Setup) instead of using the default "WF ACTION COMPLETED" message that is provided. Once I created my own message and assigned that new message to "Send notifications for completed actions" option, the notifications flowed as needed.
