FA Module GP 2018

    Hi,
    I need an assistance on Asset Book, there were 2 asset ID that was added in error how can we delete it and add the correct one?
    Any help will be greatly appreciated.

    Hi Cinia,

    I recommend that you review these steps first and make sure you have a good and reliable backup before deleting any record in GP.

    On the Asset Book window, technically you can delete an asset by using the Delete button at the top of the window.
    NOTE: Deleting an asset here, deletes it from the book, it does not delete the actual asset card itself.




    What is equally important to identify here is:
    1. Whether you have already run and used the FA GL Posting Routine to create the GL batch
    2. The FATRX batch has already been posted to the GL

    If you check your Financial Detail Enquiry window (Enquiry >> Fixed Assets >> Financial Detail), you can identify lines that have not been run by the FA GL Posting Routine as ones that do not have an FATRX batch ID.


    So you have to check for:

    1. If your assets have not been picked up (as above; all lines not have been picked up) by the FA GL Posting Routine, you should be comfortable enough to delete them (again, please make sure you have a good backup) from the Asset Book Window, and re-add the asset with the correct information.

    2. If however, your assets have been tagged with a batch ID (and the lines include i.e. additions, depreciations, or any other activity), there is a chance that you have already posted them to the GL.
    - Deleting them from the Asset Book window only deletes them from that window
    - You will need to then find the entries in GL, and manually adjust the GL (reverse out the entries). What can make it a bit difficult here is if your FATRX batch included multiple assets. You can create a Smartlist report to find the GL entries and drill back to the asset lines or make use of the FA to GL Reconciliation report (Reports >> Fixed Assets >> Activity >> Fixed Assets to General Ledger Reconciliation)

    Hope that gives you a little guidance.

    Cinia,

    Try using the Professional Services Tools Library (PSTL)>>Fixed Asset Modifier to change the asset ID from the incorrect one to the correct one.  You can do this for each asset that was set up incorrectly.
