Great Plains Customer Clean Up

Couple of questions.   Looking for what others are doing.

We have customers in our system who have not purchased from us in over 15 years.   We are wondering if others purge old customers (completely remove/delete) from their systems.   If yes, is there a way to mass delete or is it one by one?  Do you need to remove the Papersave documents first?

Second, we are looking to change our customer numbering ... currently we use a 5 alpha code, but are running out of options for some combinations or the customer changed their name and the code doesn't match.  This gets confusing for new customer care associates.  Is there a way to mass change codes if we decide to go all numeric?

    Hi Debbie,

I would setup a SmartList for the customers to export to Excel. Column A should be the old ID, and column B will be the new ID. Then use "Customer Modifier" utility to import the file and change your codes. It works well, and I have done this many times. As always, make a backup and keep people out while you run this. Depending on the number of customers and your environment, this can take minutes or the better part of an hour.

    Good Luck!

Thank you - I didn't know if Customer Modifier could do more than one customer at a time.  I will look into it more.

    Thank you.

@Debbie Janssen  -- most of our clients do not "purge" client information unless there is a space issue going on.  They will just inactivate them and make sure to not have inactive records in the lookups.

As for changing customer numbers, you really have two main options --- the customer tool in PSTL or the customer changer tool from CRG (Corp Renaissance Group).

    Hi Debbie,

Make sure you consider any 3rd party solutions when making customer ID changes too.  If any 3rd party solutions store the customer ID, then changing them with the PSTL tool would only update GP and they would be out of sync.  I don't know if this would be an issue for Papersave (or any other software for you) or not, just suggesting to verify before making any changes.
