Limits at Account Level

    I am wanting to set up a "warning" when at the account level in GP.  For example if I want an expense account to not exceed $5000 for a month.  How would I do that in GP?  I don't want to use a credit limit by vendor because we are a manufacturing facility, we have multiple vendors that can use the same or multiple GL accounts.  Will Budgeting in GP stop/alert when the account is over a set limit?

    First question would be:  are you posting to the general ledger or through?    Posting in AP probably wouldn't catch this alone.

    Do you have workflow set up?  You could have it activated for your designated GL account.

    Another option might be to set up a reminder - notifying someone if the GL account balance was greater than $5000

    Patricia,

    GP has a VERY underutilized feature that most people don't know about called Business Alerts.  You must have POWERUSER access, and possibly even login as "Sa" or "DYNSA" to set these up.

    Go to Administration - then locate setup - system - business alerts:

    Now, GP also has a built in alert that you can just modify for budgets, so rather than creating from scratch you can just modify:


    Then select the Budget one:


    From there just click next until you get to the alert notification screen with the email address and alert schedule.  It's already all configured correctly so you don't have to know the tables just enable it and try it out.

    This screen is tricky.  Your SQL DBA needs to make sure "SQLMail" is configured on your SQL Server.  If you select email and SQLMail is not configured, it will not email the alert to you, so in that case you can just choose 'user id" instead and it will just alert a specific GP user ID via a pop up message.

    Next Screen:
    Last screen!  Schedule how often you want your system to check.  I would set it at hourly during business hours, i.e. 9AM-5PM.  Make sure the check box "enable business alert" is checked, by default if you're modifying one of the sample ones it won't be!  Once you click finish the alert is turned on.  If your SQL Mail is setup correctly, you'll get an email in about an hour, if you happen to have any over-budget GL accounts. :)
