Smartlists

    Hello

Is there a way to identify the default Smartlists?  We have way too many and I'm looking to clean it up.  Many people have made favorites of smartlists that have an asterisk after name and kept the asterisk in the new name.  It's become quite a mess.  I was hoping maybe there's a query or something that can help me weed through the mess.

    Thanks
    Brenda

    Hi Brenda,

The ones with "*" by itself are the default/ out of the box ones.
If you have access to SQL, you can check the SmartList Favorites Master (ASIEXP81) table under the DYNAMICS database.

    @Brenda Rogers ,

Something to consider on a going forward basis is to ask your users to prefix any Smartlist that they create for themselves with their initials, i.e. "BG-GL Account List". This does several things 1) Identifies the user who created it, 2) Sorts the Users' Smartlists together in each category and 3) would allow you to know that it is not one of the Default Smartlists.

    Brenda,

While we have some features built into our latest releases of SmartList Builder and some templates available to help you with this, it doesn't appear that you have SmartList Builder, so going to try to give you some other ideas.

I am attaching a spreadsheet of all of the default Favorites that come with SmartList for the modules that I have installed which should be all from the GP image.  The favorites just wouldn't be there if you have to build them special as this was a brand new install of GP 18.2 that I haven't initialized any of the add-ons in yet.

Also, here is a SQL script that you can run that will list all the Favorites out nicely and outline where the Favorite is and what level it was saved as.  It is basically pulling from a Template we built for SmartList Builder.  You could save it as a View in SQL and add it to SmartList Designer if you wanted.

    select T1.[ASI_Favorite_Name] as [Favorite Name],
CASE T4.ASI_Favorite_Name WHEN '28001' THEN 'Accounts' WHEN '28002' THEN 'Customers' WHEN '28003' THEN 'Vendors'
WHEN '28004' THEN 'Items' WHEN '28005' THEN 'Employees' WHEN '28006' THEN 'Sales Transactions'
WHEN '28007' THEN 'Purchase Orders' WHEN '28008' THEN 'Receivables Transactions' WHEN '28009' THEN 'Payables Transactions'
WHEN '28010' THEN 'Payroll Transactions' WHEN '28011' THEN 'Item Quantities' WHEN '28012' THEN 'Account Transactions'
WHEN '28013' THEN 'Account Summary' WHEN '28014' THEN 'Multidimensional Analysis' WHEN '28015' THEN 'Customer Addresses'
WHEN '28016' THEN 'Vendor Addresses' WHEN '28017' THEN 'Prospects' WHEN '28018' THEN 'Payroll Historical Trx'
WHEN '28019' THEN 'Inventory Transactions' WHEN '28020' THEN 'Sales Line Items' WHEN '28021' THEN 'Purcahse Line Items'
WHEN '28022' THEN 'Bank Transactions' WHEN '28023' THEN 'Vendor Items' WHEN '28024' THEN 'Customer Items'
WHEN '28027' THEN 'Receivings Transactions' WHEN '28028' THEN 'Receivings Line Items' WHEN '28029' THEN 'Tax Detail Transactions'
WHEN '28030' THEN 'Landed Cost ID' WHEN '28031' THEN 'Landed Cost Group ID' WHEN '28032' THEN 'Employee Summary'
WHEN '28036' THEN 'Inventory Purchase Receipts' ELSE T4.ASI_Favorite_Name END as [SmartList],
    isnull(T3.[PRODNAME], '') as [Product Name],
CASE T1.[ASI_Favorite_Save_Level] WHEN 0 THEN 'Default' WHEN 1 THEN 'System' WHEN 2 THEN 'Company' WHEN 3 THEN 'User Class' WHEN 4 THEN 'User ID' ELSE '' END as [Save Level],
T1.[CMPANYID] as [Company ID], isnull(T2.[CMPNYNAM], '') as [Company Name], T1.[USRCLASS] as [User Class],
T1.[USERID] as [User ID], T1.[ASI_Max_Records] as [Max Records]
    from DYN182..ASIEXP81 T1  with (nolock)
    LEFT JOIN DYN182..SY01500 T2 with (nolock) on T2.[CMPANYID] =  T1.[CMPANYID]
    LEFT JOIN DYN182..EXT90101 T3 with (nolock) on T3.[PRODID] =  T1.[ASI_Favorite_Dict_ID]
    INNER JOIN DYN182..ASIEXP81 T4 with (nolock) on T4.[ASI_Favorite_Dict_ID] =  T1.[ASI_Favorite_Dict_ID] and  T4.[ASI_Favorite_Type] =  T1.[ASI_Favorite_Type]
    where (T4.[ASI_Favorite_Name] <> '*' and T4.[ASI_Favorite_Save_Level] NOT IN (1, 2, 3, 4) and T1.[ASI_Favorite_Name] <> '*' and T1.[ASI_Favorite_Save_Level] <> '0')

Hope that helps, but let me know if there is anything further I can do to help!
