    Hi all,

    We will begin to use the requistion module in GP.

    I want to know if it's possible to send an email to someone(buyer) when a requistion is created and has to be approve to become a PO?

    If yes, how can I configure it?

    Hi @Martin St-Pierre,

    It sounds like you'd be interested in GP's built in workflow capabilities for Purchase Requisitions. This would allow you to create  a workflow with conditions that control who needs to approve it, if there are multiple steps, etc.​ as well as send approval notices to the appropriate people.  If you configure the web services component as well, the person can  approve/reject the requisition via email (a VPN may be required if they are off site).

    The first link below will take you to Microsoft's document page for GP.  Part 5 covers the workflow set up. The Microsoft document should get you enough information to get started, but a supplemental google search will provide numerous articles and blog posts from different people/companies on common issues, best practices, etc.

    The second link will take you to a blog series on configuring the web services piece.  Web services is only required if you want the approver to be able to approve/reject via email.  If you want them to physically log into GP to do the approve/reject, then web services isn't required.  Email notifications can be sent without web services - it's just the approve/reject piece that requires them.   The link is to a walkthrough of the most recent version of GP, but @Ian Grieve has also posted similar walkthroughs for other versions.

    I know for the workflow, but I was thinking maybe that GP has an automate process that sends email when a requistion is submitted by the user?

    Hi @Martin St-Pierre,

    Automatic emails can be part of the workflow configuration.  When you set up steps, you tell the workflow whether or not an email should be sent to the person who should be doing the approving.

    When the workflow is turned on, the requisitioner hits "submit"​, and if the workfow itself is configured to send emails, an email is automatically fired off to the approver set up in the workflow.

    Now there is a bit of setup if you want the emails to be sent - included in that first link I sent, but it's pretty straightforward in most cases.

    Does that make sense?
