Fixed Assets

    We are currently switching over to GP for fixed assets and we are importing multiple companies. Can we import by company or do they all need to be in one spreadsheet? Once we get them imported will there be a way to run reports sorted by company?

    You can only import one company at a time if you're using Integration Manager. If you're using SmartConnect you can import multiple companies.

     

    You can have all the data in one sheet or one company per sheet.

     

    If you are using Integration Manager and have multiple companies in one sheet, you will need to apply a filter to the data in your source queries.

    Hi Michael,
    We converted to using Fixed Assets in GP this last May, and the "by company" method worked perfectly for us. In terms of reporting, I've found the smartlists to be the best reports, and you can set those up to be multiple company.

    We used SmartConnect and found that the eConnect procedures for fixed assets are not good.

    I would highly recommend using either integration manager OR the native integration for fixed assets that's built right into GP.

    Also, as others have mentioned, SmartList & SSRS reports are our preferred go-to for Fixed Assets. We have ~10 GP companies w/ Fixed Assets that we roll together..

    I will respectfully disagree with @Kyle Malone on this one with regards to the import options. I find the out of the box macro-based import to be buggy and painful, in my experience and have used SmartConnect with the eConnect stored procs without any issues whatsoever. It's super fast, it works well and the customers I've created imports for into FA with SmartConnect love it. You can import to multiple companies at the same time with SmartConnect, which is an added bonus.

    The way you have asked your question, I would want to clarify though: when you say multiple companies, you do mean multiple different GP company databases, right? ​Above when I say multiple companies, I literally mean different GP company databases, not multiple entities in one database.

    Typically, without something like SmartConnect, you must import one company at a time - when importing to different databases.

    Reporting wise, so much of how I would answer would depend on your definition of multiple companies as it sounds like you mean something in one "database". Within what I refer to as 1 GP company, I would ensure you are utilizing a field in Fixed Assets to differentiate "company" otherwise it will be difficult to identify which is which. If it's different GP company dbs, the db itself will be the way to tell which company something is in if someone is writing multi-company reports for you, i.e. the author would have some kind of query that indicates where the data came from in theory, to help you report on them individually.

    A good example of why multiple perspectives are always a good thing @Jen Kuntz !​ We had a few custom procedures given to us by Microsoft to make things work correctly & had to manipulate our source/processes to address other issues. Maybe (hopefully) they've been released to the core code or we just had very specific scenarios that were causing the issues.

    Happy to hear that eConnect/SmartConnect has worked well for others!
