GP2018 Payables Workflow

    ​HI,

    We have 7 different departments with managers that I would like to have receive and approve their own invoices. With GP 2018 workflow you can only have one workflow active at a time. Is there a workaround available that will allow you to not have to send all invoices to all managers?

    What you would want to do, as an example, is setup the payables workflow with 7 'first' approval steps, one for each department/manager.

    Each of these 'first' steps would need to be setup to verify the department, so it can route to that department's manager for approval and they wouldn't receive invoices from all departments, just their own.

    For example, the 7 'first' steps would be setup as follows:

    Step 1A: If department A, then route workflow to manager A for approval.
    Step 1B: If department B, then route workflow to manager B for approval.
    Step 1C: If department C, then route workflow to manager C for approval.
    Step 1D: If department D, then route workflow to manager D for approval.
    Step 1E: If department E, then route workflow to manager E for approval.
    Step 1F: If department F, then route workflow to manager F for approval.
    Step 1G: If department G, then route workflow to manager G for approval.

    Using this example, let's say someone submits a payables trx for department D. Workflow would look at these 7 'first' steps and determine that only Step 1D is valid based on the approval conditions, thus it would route the workflow to the manager of department D for approval of that workflow/payables trx.

    The other 6 'first' steps would not be valid based on the department, thus no action would be needed for those workflow paths.

    There's many different ways of doing this, depending on how the customer want the workflow setup, but you shouldn't need to have a different workflow for each department and then need to activate and de-activate workflows depending on which department the payables trx was being submitted for.
