    Hi There,

    I need help to setup workflow approvals for Vendor setups in UAT giving my outlook credentials - but it does not seem to work.


    1. Workflow setup:  - Is the "Enable email actions mandatory? Our Network admin mentioned we do not have GP Web services enabled. The approval tasks can be made available on the ToDo List on GP Home screen. Emails need not be sent as approvers are also GP users.
    Can I use the AP Dept. generic mailbox name here ?



    2. Workflow Maintenance - New workflow activated.




    3. The errors under workflow history:


     
    Please help.

    Hi @Mangala Shetty

    First thing is that you need to complete the assignments for WF Roles, such as Workflow MGR, etc and change the step to assign it to the WF Manager in a hierarchy ​or assign the approver by role.  You'd need to remove the Active Directory Account you have in the "Assignment".

    If that alone does not work then you need to uncheck the "enable email for workflow" checkmark, because that is likely what is kicking off the approval email that is creating the error.

    Hi Mangala,
    #1 - Web services is only required if you want them to be able to click on the links in the email they receive.  You can use any mailbox you wish, but some email servers validate this, so I recommend that it be a valid mailbox in the from address.  The display name can be anything you wish.  HOWEVER, I see you have "Windows auth using database service credentials".  99% of the time this DOES NOT work because the database engine is not running under a service account that has an email account created for it.  I would first try the anonymous one, and if that does not work you'll need to enter a valid user name and password in that has an email account.  I do NOT recommend using your account especially if your password changes every 90 days.  Have IT create an account for GP email, or have them enable "anonymous" by whitelisting the IP address of your GP server.  Talk to your friendly IT person about this.

    #2 - You are not required to use email notifications - however I do feel this improves the chances of people acting on their tasks.  Many users may not even have their to-do list turned on in their GP home page.  If you go this route, make sure all users have their to-do list turned on.

    To fix error #3 - you will need access to SQL Management Studio and have the "sa" password or be a member of the sysadmin server role with your windows account.
    You will need to select the DYNAMICS database from the drop down
    Then type in "Exec wfDeployClrAssemblies" (without the quotes) and click on the Play button to execute the query


    This should take a while to run, and you may get errors and warnings which is normal, but this generally resolves most assembly error issues.  It usually happens when moving GP to a new server and the assemblies don't get deployed unless it's a new install or upgrade of GP on the server.

    Thank you Rob!

    It worked! :)   I ran the sql script "Exec wfDeployClrAssemblies"  on the DB. I was able to re-submit the approval workflow and then was able to approve it from the TODO tasks. I am now working with our Network Admin to create an account for GP emails. For now the task under the To-Do tab on homepage works.
    Thank you so much. I would never have figured this out.
