Outlook Message when Emailing

    ​​When we run EFT payments and send remittance advices and send statements, we get the below message for every one being sent. Does anyone know how to get rid of the message? Our IT has made some system changes and it is still happening and they can't figure it out.

    Outlook has been doing this since 2008 that I know about.  I wrote a mass-email program in my FileMaker database.  I wrote and tested on MacOS.  Worked great.  No prompts, just sent the 10 samples out.  Running on Windows7 with Outlook, it prompted for each one.  The sender had to click OK for all 499 emails.  Still faster than doing it manually.  We use Filemaker to send our AR invoices, we are prompted by Outlook 2019 for each one. 

    The explanation is that MS is protecting US from some third-party program taking active control and spamming.  There are mail services that you can use to send mass emails.  I do not remember who, but there was a discussion on the FIleMaker Message Boards.  I remember one allowed up to 25,000 emails per month free.

    What version of GP and Office are you running?

    We upgraded to 2018 GP and are running Office 365 and setup the email settings in there to use SMTP.  It asks our users to login with their 365 credentials once per session and it will send all emails automatically under that user's name.  So for our invoices, remits, POs, etc, we have templates email the PDF directly to email addresses in the vendor/customer cards.  The person that emailed will see it in their sent items.  It was a huge improvement for our users when we upgraded and they did not see the box you have showing.

    We are running GP 2018 and Office 365. Still getting the message to allow each email. where did you set up the SMTP, can you share what your setup looks like. Our IT is still having issues with resolving the issue.

    Hi Bari,
    So with those versions you should be able to configure your email setup as Exchange and it should work the way ours does.

    In GP, go to Administration --> Setup --> System Preferences

    Under Email Preferences make sure Exchange is selected and Password is set to Auto generate.

    Then when you access email options it should ask you to log in.
    You should be prompted with a box asking for an email address and password.  If your login to 365 is different than you email, click the Show Advanced link to show a login ID box.

    If that does not work, then the other option is to enter the 365 URL into the table directly and that should resolve it.  The system should use autodiscover to find the email server to log into and send email.  If not you may have to put your URL in the database table for each user.

    SELECT * from DYNAMICS..SY04920

    If you need to add then the URL should be   https://outlook.office365.com/EWS/Exchange.asmx

    so sql code similar to:

    UPDATE DYNAMICS..SY04920
    SET Exchange_Server_URL = 'https://outlook.office365.com/EWS/Exchange.asmx'
    WHERE USERID = 'beth'

    We are sending all PDFs.

    Nice thing is that since it is using your Office 365 account, anything sent will be in your sent items.
