Invoice Formats for Specific Batches (Not Customers)

    Hi:

I thought that the issue that I was researching on printing different Word Templates (SOP Blank Invoices) for different batches (lines of business) was settled.  But, I have since discovered that it's not.

Some of the different lines of business for our client are royalties, cargo, and insurance.  The same customers and customer classes are going to want invoices from any, some, or all of these lines of business.

Invoices can only be assigned based on Customer ID or Customer Class – not on lines of business (different SOP Batch IDs).

Pulling in a third-party like Accountable's Forms Printer would work normally, but I don't think that the end-user wants a third-party solution.  And, Binary Stream's MEM will not print out different invoices for different lines of business.

Do you all have any thoughts, on this?

    John,
How different are the formats for the different lines of business?  Is it just the Company logo that needs to change?  If you can keep the rest of the formatting the same but swap out the logo you have more options, such as conditional images in SSRS.  Also MEM will allow to print logos by entity.

I agree with Andrew, SSRS report with conditional fields might be the best solution. It will take some time to build up but you can almost do anything on it. In the past I've built one SSRS report for invoices with 25 conditional fields and some fields had up to 12 conditions.

    Hi All:

    It goes beyond logos, unfortunately.

And, without buying a third-party add-on such as Forms Printer, I don't know of a way of "connecting" SSRS to SOP Batches.

Thanks, though, for the responses!  :)

SSRS use SQL queries to get his data, you can deploy the out of the box SSRS reports in Dynamics GP to have your Data Source setup done quickly. And again the conditional fields can be any kind of field not just logos

Yes, I know of the SSRS reports that come with GP.  But, I do not recall their being an SSRS Sales Invoice report.  :)

Indeed there is no out of the box SOP invoice SSRS report, you will have to start from scratch, some times you have no other choices than rolling up your sleeves and do it the long way. But it will take less time doing that than installing and do the setup of a 3rd party solution and also cheaper  :)

    Hi Everyone:

It looks like Valerie Sikora, through a similar posting of mine, gave me the answer that I needed:

    Hi John,

You can copy the Blank Word Template format to the Short, Long or Other format.  Then you need to make an xml file for the format you are going to use, like the Short form, for example.  Then you have to delete the source that has Blank, and add the source for the Short form.  From there you can make changes as needed to the new Word Template.

Keep in mind that the "Email" button at the top of the SOP Entry window is only available on the Blank form (for some stupid reason), but you can click on Print (or go to Sales Batches and print from there) and choose to email from there if you are using one of the other formats.

Be sure to make lots of copies so you can revert to a previous version if you need to!

    Hi Val:

You say that you can copy?  How does that work?

    Hi @John Ellis

You are, unfortunately, going to have a difficult time finding an out-of-the-box solution to this.

I have worked with a few clients with this type of issue and have found that the only really minutely configurable solution is by Accountable.  Here's a link, it has a crazy amount of rules and what-ifs on what form to print and when.

    https://www.accountable.com/Products/FormsPrinter/

I feel like there are a few others on the market, but I cannot think of them right now.

    John,

While Val's advice gets you the documents you need with an out-of-the-box product, you may be setting yourself up for some pain with future changes.  Word Templates is a terrible/weak document composition tool.  If you have more than a couple changes a year, you will want to invest the time in one of the tools mentioned in this post.

    John,

OMG!   I just read your other post.  I cannot believe you have not abandoned Word Templates already.  This is only the beginning.  Again, your change management (applying future changes to an existing document in production) will be painful.  I hope you don't have many of them.

Here's another thought...   what you might be missing in the recommended tools is that they have already built the templates.  They come with the product.  FormsPrinter from Accountable provides templates for both SSRS and Crystal.  It would not be difficult to add your logic to these templates for variability based on batch ID.

AND, in the case of FormsPrinter, it is fully integrated with GP.  One example, of many, is that the user does not do anything different in the GP interface to generate document.  They click the same print button and it goes where you define it (print, email, etc.).

    I hope this helps.

    Hi John,
My name is Jeff with Liaison Software.

Both Liaison Messenger FORM and/or EDD can solve your customers problem. With Liaison Messenger FORM you set the filter criteria and it calls our built-in templates.

Liaison Messenger EDD you simply assign the criteria of the respective data of the SOP Doc to the respective Form Template. And the Forms can be Dexterity, Crystal Report, SSRS reports whatever...

Here is a link to some quick explainer videos highlighting some of Liaison Messenger's capabilities.
