Accounts Payable automation

Good morning all. I'm a new member and have been told that this is the perfect place to get advice and find answers to my questions about GP. I have been mandated to automate the accounts payable department at my workplace, and I would like those of you who have already done this, to tell me about their experience. In fact, I'm trying to find the best invoice processing system for GP and, ideally, I would like to be able to compare some in terms of efficiency (accuracy of data processing) and cost (including all costs of 'implementation and upgrade). The goal is to minimize human intervention as much as possible in the invoice processing process, while having a minimal margin of error when it comes to the accuracy of the data processed. So, I look forward to your suggestions and comments. Thank you 😊

Welcome to GPUG! This is definitely a helpful place so I think you'll get some helpful answers from members!.

I don't have any firsthand experience, but I've seen some demos over the years and there are a lot of good systems out there. There's been posts on this topic before so I wanted to link you to those, but hopefully you'll get some updated feedback from members here as well.

Best of luck with your search!

We are currently implementing AvidXchange. Our reps told us that the API is no longer being used because it didn't work correctly. We had to come up with a way to import the invoices from Avid into GP and a way to export the payment from GP to Avid. We were told they "know a little about a lot of systems", so they couldn't assist with the import and export. We ended up paying for the same customization that was done for a sister company of ours.

    Hi @Johane Lalonde,
Welcome! GPUG is definitely a fantastic community!

I actually have a presentation prepared on this topic (fingers crossed to present it @ Summit as well) but basically, with out of the box GP, you can only go so far.

What GP Has Out of the Box
    - Robust Transactional Workflows for Getting Approvals
    - Document attachment functionality
    - Great GUI & interface for keying transactions

What GP Doesn't Have Out of the Box
    - OCR capabilities (read a scanned invoice & automatically put fields into GP)
    - An automated way to feed emails into the system

There are a ton of great products that feed seamlessly into GP. If you haven't done so already, maybe take a look at the Directory for 'AP Automation'. https://www.gpug.com/network/findacompany in addition to the great discussion links that @Chris Hadden, CPP has provided.

Happy to elaborate where I can, just let me know & good luck!

you might want to check out Coupa.
An all in one business spend management  platform which  interfaces with GP..
    https://www.coupa.com/
not cheap but fully functioned with OCR capabilities. will do both invoices and expenses.

Ordering and approvals are done in the  Coupa site with workflows
Orders are then sent to vendors directly from Coupa ( or manually if you wish)
upon  receipt of goods  and invoices from vendors to coupa , you do 3 way matching  and then after final acceptance coupa  drops the payment info  directly into a GP PM batch for payment.
You can then work with Mekroma to issue checks for you, use EFT payment or print manual checks.
Then you have GP send back the payment info into Coupa where the vendors can review payment information.

I implemented CoreIntegrator over 5 years ago for ap automation and it's easy to use, very flexible and integrates with GP.  I implemented it at another firm I worked for previously and when I joined my current firm, recommended CoreIntegrator as the document management system that they were trying to implement had some major stumbling blocks and was not customizable.  Check it out!

Everyone correlates AP automation with invoice automation and rarely think about the payment side. You will want to check out Mekorma for they payment automation side - www.mekorma.com. We save you thousands of clicks when it comes down to processing payments and are even relaunching our electronic payment processing product for those who need offsite payment management.

We offer a mobile solution for payment approval, so your approvers don't have to live in front of their computers to get payments out to vendors and also incorporate signature logic in the process.
