Vendor Card Updates

  • 1.  Vendor Card Updates

    Hello,

We are building a process in our organization to have an approval process for any vendor change made to the Vendor cards, including address changes, name changes and EFT information changes. We added workflow to have that approval process kicked off. I would like for the system to show us what change was made to the vendor card  without having the person making the change type in the comment box. Is there a way to do this? How are other companies maintaining control on any type of vendor card updates?

    I am open to ideas.

    Thank you for your suppport,

    Hi Maya,
It's not necessarily an approval process, but Rockton Auditor provides a nice tool for monitoring changes made to vendor records. You can run a SmartList to show any changes made.

    Hi @Maya Murali

Native GP will not track those types of changes (it has a change tracking, but it is not worth using).

The workflow will take care of getting approvals, but if you actually need change tracking then as @Joe Scheidecker states Rockton Auditor works, but you won't be able to natively insert that data into the Workflow email unless you find someone who is good at customizing that workflow screen.

GP's inability to track changes (caveat:  you will see a modified date in the tables, but not what exactly changed) is one of my pet peeves with GP.

    Hi Maya,
If you own the GPPT (GP Power Tools) Dev module, you could setup some triggers that would track the changes on that GP form and even capture the old value before it is changed.
@David Musgrave just recently published a blog post on how to achieve this.
