    Is there a non-profit group out there who can give me a heads up to any reporting tools, links and other best practices on how to use GP as a NPO?

    There are a lot of different ways to accommodate NPO accounting and reporting in GP.  From a reporting standpoint, it really depen​ds on how you have GP setup and which modules you are using.  Some people will use segments in the chart of accounts, some use MDA and some use Analytical Accounting (AA).  AA was built with non-profits in mind and has some great functionality (as well as some quirks).

    So my question would be, what are you currently using in GP and what are your requirements?
    Throw that out here and I bet you get a lot of suggestions/feedback. :)

    I am new to GP as of 4 months ago. Our non-profit org. uses the following modules -
    Finance
    Sales
    Purchasing
    Administration
    HR & Payroll

    Our account string is the following 00-0000-0000 labeled as followed:
    Location:Program:GL account

    We do not have a solid reporting system set up within GP for a Statement of FInancial Position (Balance Sheet) or Statement of Activities (Profit and Loss). I would love to hear about best reporting options for these reports, so I can make them consistent.

    I would like to create a SOA report by location and I do not know the best way to create it?

    I do not know what AA is, and I am wondering if that would be beneficial for us to look into?

    Is there another way for us to track expenses without adding another string?

    Hi Susan,
    I have worked with a number of non for profit organization that tracks projects, grants using GP.  so it all depends on how the GP is setup and how you are using it.

    Do you receive grants and give outgoing grants or issue projects?

    Some uses the Chart of Accounts and use one of the segments to track locations and projects so users can book in to the correct project and locations.
    Some uses Analytical Accounting as well.  Using Analytical Accounting will give your more flexibility as you can create as many dimensions as you want to track transactions (expenses) and does not build up the list of your chart of accounts..

    I would say start by looking into Management Reporter (MR) - you own it as the financial reporting tool that ships with GP.
    Here is a good GPUG MR​ recording to help you see some of the basic functionality it has to offer:

    Once you see what it can do, you can determine if you're chart of accounts is built to include the things you need to report on or not.
    MR will also have some sample reports that you can use as templates to help setup your basic financials.

    Hi Susan! Non-Profit Accountant using GP here! :-) For reporting we use Management Reporter (MR) for reports. MR is what comes with GP and it is able to do everything we need to do. You should definitely check it out. We use the trees a lot to group programs - admin, financing and program, I have found using the column formats has worked best for the Statement of Functional expenses, maybe add a tree in to consolidate companies. GPUG offers academy courses (training) for it. If that won't work with your timeline - you may need help sooner than the classes are available, I'd search YouTube, reach out to your partner or look up the MSX Group (they do most if not all of the MR training for GPUG) and they are super great.

    We also have an awesome budgeting tool that we use for internal/management budget monitoring that takes a lot of the work off of our plate, it is Dynamic Budgets. It has added a lot of efficiency to our budgeting process as well as our budget vs. actual reporting. It allows users to drill down to transaction level detail on-demand (within the security parameters you set).
