Sales Batch Totals Not Correct

  • 1.  Sales Batch Totals Not Correct

    ​We are having a situation that started intermittently a couple of months ago and is now happening on a rather frequent basis.  When we are doing invoicing through SOP, we have been noticing that the Batch Totals (number of trx and $$) do not match what is actually in the batch.  If you run the edit list, all transactions are in the batch and the totals at the end of the report tie to what we are invoicing, however the Batch Totals at the top of the Edit List are incorrect.

    I have tried running check links and reconciling the batches and that still does no good.  I had someone say that is sometimes will happen when there are transactions that are imported into GP.  We do import some transactions occasionally but this happens whether or not there are imported trx in the batch.

    Does anyone have any ideas?  We are on GP 2010 and are going to upgrade soon.  Do you think the upgrade might resolve the issue?

    Hello Jeff.
    I was wondering if your batch totals on the batch page happen to be exactly twice the amount of your batch total on the transaction page..
    If it is exactly twice as much then it is correct since it adds the Debit and Credit columns to get the Batch Total.
    I was just curious if this the issue.

    ​Hi Steve, no the number of trx is incorrect (usually by 1 or 2) and the amount is off by what the total would be of the 1 or 2 trx.

    This is likely an issue with the Report Writer report you are using and it sounds like the Edit List for that transaction was likely modified and is now not correct.

    To test, go to Administration>Setup>System>Alternate/Modified forms and reports

    Pull up the ID that your user is assigned to, select "Reports", Go to the edit list that is not working and change it back to GP out of the box.

    Then, go to the batch, print the edit list again.  If it is now correct then the issue is the math on the modified report.

    ​No we don't use a modified report for the Edit List.  The problem isn't just with the Batch Totals on the Edit List, if you bring the batch up in the "Sales Batches" window, the No of Trx and the Batch Total is incorrect there as well.  Sometimes it's fine on the Sales Batch window and when it is it is fine on the Edit List as well.

    Jeff,

    Given the above responses, I bet your issues lies in your import or some related 'feature' of your import.  What is your import (an ISV, Integration Manager, home-grown code, etc.)?

    It sounds like this is a nuisance and not impacting your processing.  You may remedy it with your upgrade.

    I would take a careful approach with your upcoming upgrade and scrutinize every step of bringing up your new environment (assuming you are not doing an in-place upgrade and will be bringing up a new environment).

    Try to find the steps and conditions in your current environment that cause this to be in a position to replicate it on-demand.  If you can replicate it, then, do those steps after each install of your new environment (install GP, import customizations, install ISVs, etc.).  You might catch the offending ISV or customization.

    If it does it right after installing GP and before the customizations and ISV's, I bet you've got a rogue trigger in your database.  There are a variety of ways to identify these.  I like to write triggers that capture every time that the field is updated and why and by which user.

    I just found this thread, as we are having the same problem.  This is the first time we've had this issue.  Our "Batch Total Actual" is $4276.00, and the total of the entries is $3956.00.  This is a recurring batch, if that makes any difference, and changes are made manually.

    Great Plains typically does not recalculate the batch total from all the transactions when the total is updated, it simply adds the transaction amount to the total.  An environmental problem, power outages, etc., can cause the batch total to go out of balance. I have never seen this to cause a problem, the batch total on the batch report is what gets posted, so I would just post the batch.

    @Jo deRuiter  Here are the totals from the bottom.  ^^

    Apparently there was one entry for $320.00 that was deleted, and that's the difference between the two #'s.  ​​So, @Bruce Strom, you're saying that it's safe to post?​​  Maybe that entry just didn't get deleted from the batch total?
