    ​Greetings everyone!

    Our payroll clerk brought this issue up recently and I thought I'd post it here for discussion. We have both weekly and biweekly paid employees. When our clerk enters a new biweekly employee, she is setting their regular time (base) pay code pay rate, then changing the pay period from Weekly to Biweekly, and then when these changes are saved she is prompted to do a roll down, which she selects Yes. All the pay codes that are based on the regular time base pay code get the pay rates set correctly, however, the pay period for all the pay codes based on the regular time pay code remain set at Weekly.

    The pay code setup for the regular time base pay code and all the pay codes that are based on this one have the pay period set to Weekly. I'm guessing that this is the reason why the roll down of the of the regular time base pay code is setting the pay period to Weekly for all the pay codes that are based on the regular time base pay code. Our payroll clerk tells me, though, that this used to work prior to the new year (that the roll down of the of the regular time base pay code would set the pay period to Biweekly for all the pay codes that are based on the regular time base pay code). Does anyone know for sure how the pay code roll down works and how the pay period gets set for the "based on" pay codes that are being rolled down to?

    Hello Mike,
    In my testing on a GP18.2.1036 instance, the roll down to other pay codes affects only the Pay Rate, not the Frequency. I would highly suggest having a separate set of pay codes for Weekly vs Biweekly, or consider consolidating all employees to one Frequency.

    Otherwise another idea would be to use a Smartlist to compare the frequency on the employee's Primary Paycode to the frequency on their other paycodes, to help monitor that you get all the paycodes updated properly.

    Yes, this is a big help and very much appreciate it! ​All my testing resulted in the same roll down effect as yours did. I'll run your suggestions by the Payroll team to see how they'd like to proceed with this. As another alterative, I have some SQL scripts that I use to fix these that I can incorporate into a SmartConnect integration for our payroll clerk to use as part of her steps for adding the newly hired biweekly employees.
