Vendor Security

    We are expanding access a little to our A/P process and so are thinking through the various security issues.  One which will present us a challenge is restricting access to certain sensitive vendors.  I understand GP doesn't have 'record level' security (that would enable us to limit access to certain vendors).  So, wondering if anyone else has had this issue and if so, if you were able to find an acceptable workaround.  Currently we are only running one company within GP but have thought about possibly adding a 'corporate level' entity to handle the sensitive vendors.  However, that presents challenges from a payment and bank account standpoint.

    EthoTech provides a free tool called SmartSort that allows you to assign custom lookups using smartlist favorites.

    Theoretically, you could create a smartlist favorite from the Vendors smartlist that includes restrictions for user classes/user ids that reflect how limited or expansive a list that user class/user id should see. You could then assign that smartlist favorite as the lookup to be used for Vendors.
    I use the word "theoretically" because we've never actually used it in this way.

    I'd be interested if any of the more experienced consultants or users on the forum have ever implemented a solution using SmartSort to filter lookup results, or even if someone from EthoTech could confirm it can be done. It might be worth a phone call/email to them.

    A while back I coded a proof of concept demo of row level filtering.  I have since created examples using GP Power Tools - Developer Tools module triggers.  It is not perfect as it is difficult to restrict reports and smartlists, but you could lock down the windows you want to farily easily.

    If you were going to create a corporate level entity, then Binary Stream's Multi-Entity Management product would achieve this.  You grant users access to entities and you can assign vendors to entities.  So if a user doesn't have access to this new corporate entity, then they won't be able to pull up the card for the vendor.  Your partner should be able to get you more details, but just an idea.
