New to GP

    My Name is Sandra Rentz and I am new to the Dynamics GP world as well as Health Care. I am looking to connect with someone who is willing to collaborate with me as I develop this system on the financial side of my company.  The system was purchased about three years ago and only being used by Accounts Payable.  I am looking to move it forward and start using the purchasing module.  My hope is to do the following but not sure how or where to begin:

    • Vendors that can be set up as a punch out in GP
      1. click on vendor logo
      2. user is taken to the vendor's online catalog with contracted pricing
      3. user selects items to be ordered
      4. user selects the order button to be brought back to GP
      5. user is able to select the deliver to location
      6. user types in their gl account
      7. GP system communicates with our budget to check the gl
      8. If budget check is passed, the requisition is generated and goes through the workflow for approvals
      9. after approvals, a po is generated
      10. PO is emailed or faxed to vendor through GP
      11. Vendor fulfills order
      12. Vendor sends packing list and invoice to user
      13. User acknowledges receipt of items
      14. Invoice is set up for payment in AP module and check issued through ACH payment
      15.  
    • Vendors that are not set up as punch out in GP
      1. User selects "non-catalog item"
      2. User enters each item they need with price
      3. user is able to select the deliver to location
      4. user types in their gl account
      5. GP system communicates with our budget to check the gl
      6. If budget check is passed, the requisition is generated and goes through the workflow for approvals
      7. after approvals, a po is generated
      8. PO is emailed or faxed to vendor through GP
      9. Vendor fulfills order
      10. Vendor sends packing list and invoice to user
      11. User acknowledges receipt of items
      12. Invoice is set up for payment in AP module and check issued through ACH payment

      

    Is this something GP can do and if so what would it take to get this set up and running?  Will we have the ability to enable other vendors as punch out and if so, is there a cost involved to do so?

    Welcome to GP, @Sandra Rentz!

    Have you run this past your GP Partner? That's often a good way to go to start off with. Your Partner may not be able to help you directly, but they certainly would have suggestions for products to examine.

    Thank you for responding.  I have and no I am not receiving much assistance.  I figured it would be great to connect with the user group to see who has had to build the system up to meet the needs of their organization. ​

    @Sandra Rentz  welcome to Dynamics GP.

    I also suggest reaching out to your partner to review your requirements, that being said -- the punchout component is not out of the box functionality via GP but there are a number of ISV products that will what you've noted here.

    One product that we've had much success with in the healthcare industry is Paramount Technology's WorkPlace   https://paramountworkplace.com/

    Great suggestions so far @Sandra Rentz,
    And I'd too emphasize that contacting your current partner should be the first step.. if after 2-3 calls / e-mails, they're not getting back to you, you might want to consider switching partner.. The partner's responsibility it to look after their clients and be there to help them with the selection of products to complement GP or how to better use GP.​
    Paramount might be a good choice, there are others too.. I've been using Paperless eRequester that is web based and connects back to GP. It's supporting Project Accounting in case you want to use that to manage your costs. eRequester does also have a Punchout add-on for its system : https://www.erequester.com/spend-management-software/punchout

    Sandra,

    I'd like to add on to the great advice the others have offered.

    Since you are new to GP, I think it would help if I expand on a couple key points...

    MS Partners come in all shapes and sizes.  It sounds like you have outgrown yours.  I would look for a stronger one.  I'm sure there are a number of them that can handle this challenge.  Pick the one that gives you the best options and demonstrates that they have done it before for someone else.

    One of the strengths of the GP platform is the large number of ISVs.  You owe it to yourself to understand what they are, why they exist and how powerful they can be.  A good MS partner can explain this to you.  I bet you and your new partner will find a strong ISV to handle this.

    @Sandra Rentz and @Windi Epperson  -  HMM is a very good solution for healthcare, but would require an additional solution to do the Punchouts to vendors (works with Paramount's WorkPlace).
