PO Receipt Not Showing

    We have a Standard PO that has 2 line items. Line 2 has been received, shows Received on the PO and the receipt number shows on PO Inquiry. Line 1 shows Released on the PO, does not show a receipt number on PO Inquiry but when I try to change the PO status for line 1 to canceled is gives me an error saying "You can't cancel a line item that has been received against.
    There is no transaction in inventory for this part number and it is not an option to receive against the PO as is doesn't show in the list.
    This is not the first time this has happened to us. Why does this happen and how do we prevent it from continuing to happen?
    Where do I look to find the receipt number that is not showing?
    We are on GP2015 and I have attached screen shots.

    Hi @Missi Schrupp

    Change it to "Closed" as opposed to "Canceled" and that should get you past it.​

    Thank you Jo deRuiter but that didn't work. I got a message saying "You can't change the status of the this line item because documents are committed to it."​ Un-committing won't help because if I can't close that line item the PO will never close and there will be a receipt not invoiced sitting out there, correct?

    @Missi Schrupp have you run any file maintenance lately? Could it be that the "received" is just a glitch? I have had issues sometimes with things like this. ​

    Thank you Aleiha Hanson. I haven't run check links in a while so that might fix it. I will give that a try tomorrow morning before anyone gets here and logs into GP. Is that what you are referring to when you ask if I have run any file maintenance lately?

    Yes, I would suggest checklinks and reconcile.

    Hi @Missi Schrupp

    I second the response by @Aleiha Hanson, but I'm leaning more towards Reconcile than CheckLinks.

    To test, run Reconcile only on this one PO and let us know what it says.

    Reconcile Purchasing Documents under Purchasing>Utilities is where you want to run that at.​​

    I have had this issue a few times over the last few months.  I run the sql query: select * from pop10310 where ponumber = 'xyz'
    this should give you a receipt number.  If you then go to the receivings transaction entry window and enter that receipt number, you will see the transaction (possibly with not all required fields entered) and you can then delete.
