checks recorded in wrong bank

  • 1.  checks recorded in wrong bank

So there is more than one person using the software and one of the individuals recorded checks in the wrong bank account.  Now they are all sitting in that account and I cannot change them over or do not know how to change them over to the correct account.
    1.  Is there a way to lock say (payroll) to one bank and the a/p to another?
    2.  Is there a way to fix what has been done?  I keep getting diagnostic stating I cannot change once it has been posted.
    3.  I  am so new to this software, is there beginner tutorials?

    Hi Sharie,

That is the norm in GP... when the transaction has been posted, it's no longer available to be edited.
You can either void the transaction or enter a reversal (ex. check / withdrawal / decrease adjustment vs increase adjustment), then re-enter under the correct checkbook.

A suggestion would be to setup a test company / environment to serve as your practice ground.

    Shari ~

Within Bank Rec, there is a Transfer transaction.  This transaction will move money from one bank account to another along with posting the general ledger move between the two cash accounts.

The bank transfer is an easy transaction which will correct the issue.

    Hi @Sharie Trumble

There is some great advice below on how to cancel the checks and move them to a different account.

When you say "Recorded Checks" does that mean they sent a paper check?  IF so, you'll not want to have to void possibly dozens of checks, but you'll need to make sure there's money to cover them in that account.

If you meant that you cut checks from another system and entered manual payments, then the 100% best way to handle this is to void the checks in the wrong account and then re-record them using the correct account.

As to the question of if there is a way to setup the "DEFAULT" bank accounts in Payroll vs Payables, yes there is.

Go to Purchasing>Setup>Payables and you can select which Bank should be the default for payables transactions

The same type thing is in Payroll.

HR & Payroll>Setup>Payroll and you can choose one checkbook for Computer Checks and one for Manual checks, they can be the same bank account or different accounts:
