    #Admin

    I'm linking to everyone who has offered comments or suggestions...

    @Aleiha Hanson, @Charles Ray, @Jon Godwin, @Sandy Righi, @John Arnold, @Jennifer Wheeler,
    @Ben Faubion, @Tamara DeStefano, @Jeff Pfershy, @Darin Vialpando, @David Musgrave@Jason Nikodym@David Laster, etc.!!

    >> My IT team was stoked to see what they can do with this and already thinking of other things they could monitor on GP and our server! <<

    That is very interesting, Aleiha! You know, it would be very cool if the GP Admin Dashboard and @Beat Bucher's GP User Analytics could become more of a community project, with contributions, tweaks, suggestions, and commentary from folks that have implemented them.

    Béat and I have corresponded with quite a number of people interested in implementing the dashboards on their servers; and some (like you!) have suggested that your company is interested in expanding the capabilities and usefulness of the dashboards.

    I'd appreciate it if any of you I've named directly could offer some insight into making "Dashboard on a Dime" more of a community project. I can't reach out directly (yet!) to everyone who registered for the webinar on Jan. 10th or who attended the GPUG Summit session; so I'm starting with those who've taken the time to contact us directly.

    Anyone who attended the "Dashboard on a Dime" webinar or Summit session, please chime in!

    Sincerely,

    I think a community tool would be great. I'd love for there to be a page for stuck batches in the SY00500 table (i.e., ones that have a bchsttus and/or mkdtopst of anything other than 0 and a button to clear those batches. I already have a script that checks for any batches in that status that have been in the SY00500 table for over 1 day and email the admins about those batches each morning and I'm creating a powershell tool with a GUI that would allow non-technical users to clear the batches. I'd also love to see the dashboard offered in other formats as well, such as PowerBI. I don't personally use PowerBI (We use Dundas in my company but I know PowerBI is the leader in the field), but I'll be working on converting some of the valuable information provided in the excel doc to a BI dashboard as well.

    Total tangent, but speaking of community tools, I'd love to see a Slack for GPUG members and maybe a get repository where we could all share tools we've created, etc.

    @Jon Godwin,

    I used Slack in a desultory fashion at my last job. I'd wager that GPUG hopes that special interest groups would use the GPUG Forum(s) for Slack-like communications.

    There used to be a post-your-code Forum on GPUG.com... can't seem to locate it any longer. I don't think it enjoyed much traffic, though.

    Excellent, @Jon Godwin! This is what @Beat Bucher and I were hoping for when we brainstormed about this. Give everyone that uses our dashboards the chance to benefit from the creativity of other Admins.

    I've heard from someone whose opinion I respect that GitHub can be a pain to set up. Anyone have similar experiences? How about SourceForge?

    We welcome everyone's input!

    I like the idea @Steve Erbach! Or at least go back to some sort of "library" where we can all upload scripts, code, dashboards, etc. that others might find useful. There is no community like ours, we love to share!

    What about a tab that lists the number of days until the GP password expires? Each week (at least, I try to remember to do it weekly) I email the users the number of days left on their passwords if it's less than 8. Often the users get strange errors when it expires when they are logged in, and this does help a little in reducing the calls to me about errors.

    No, we don't have GP Power Tools :(  We are trying to get the upgrade from 2013 to 2018 pushed through before asking for anything else.

    Interesting. I'm not sure where that information is kept. How many users do you have?

    We have 22 licenses and 39 active users. Some of the 39 are occasional users, such as a backup to the person who only logs in each day to print check batches. Some are in there all day, such as the payables entry users. We use primarily payables and GL, with a little receivables/SOP (depending on the company). We also have a large number of companies - 87 - though many of them are very small.

    I found this query a while ago (I don't remember where) to show the username and the number of days until the password expires:

    use master;
    go
    set nocount on;
    go
    declare @loginname varchar(200);

    declare @logintbl table (
    LoginName varchar(20)
    ,IsLocked char(5)
    ,DaysUntilExpiration int
    );

    declare c_logins cursor for
    select [name] from sys.syslogins where name in
    (select USERID from DYNAMICS..SY01400 where UserStatus = 1);
    open c_logins;

    fetch next from c_logins into @loginname;
    while @@FETCH_STATUS = 0
    begin
    insert @logintbl(LoginName, IsLocked, DaysUntilExpiration)
    select
    @loginname
    ,case convert(smallint, LOGINPROPERTY(@loginname, 'IsLocked')) when 0 then 'No' when 1 then 'Yes' end
    ,convert(int, LOGINPROPERTY(@loginname, 'DaysUntilExpiration'));

    fetch next from c_logins into @loginname;
    end

    close c_logins;
    deallocate c_logins;

    select LoginName, DaysUntilExpiration from @logintbl
    order by DaysUntilExpiration, LoginName ;
    go
    set nocount off;
    go

    @Sandy Righi,

    >> LOGINPROPERTY <<

    "You live and learn, or you don't live long!" as my favorite author said. Never heard of that, but I see already that it could be quite useful!

    I'm not a dba. I have a horseback knowledge of SQL and I learn stuff about it quite often, actually.

    Thank you for that script. I'll see about adding that to the GP Admin Dashboard!

    Hey Steve:
    Glad to see you keeping the dream alive!  Since Phoenix Summit when we last met, I have put in some serious time and effort into my new "Power BI GP Admin Dashboard" and hope to share it with you for feedback in the coming weeks!

    A GP admin dashboard like the one you have in Excel is an incredible tool for any of us.  The more GP companies and environments I get to work with after attending your wonderful "Deer in Headlights" session, the more I have been able to gather and cram into the first draft of my GP Power BI Power Admin dashboard!  It has been so much fun I only wish I could create more time for it.  It is only in draft form right now, but I did get the dashboard working on my mobile device and it currently has over 100 queries and information tiles going in inside of it.  I have a little bit to go still to polish off the first full draft I envisioned.  One of my favorites is an interactive set of 3 Power BI tiles that does some GP User Security analysis!

    @Sandy Righi

    FYI: GP Power Tools already includes a Password Expiry warning and a report that shows password policy settings including when the password is due to expire.

    The upcoming build 26 of GPPT adds User Login tracking including Maximum users counts and a smart auto logout feature. These features are already developed and looking for beta testers.

    Regards

    @David Musgrave, GPPT wasn't an option in our environment so I rolled my own for tracking max users. Not ideal or perfect but every 5 minutes I log the number of users in the Activity table to a logging table, which allowed me to determine we were over-provisioned by about 15 users and managed to save quite a bit by dropping those user licenses.

    There are so many good tools in GPPT. I wish I could talk my company into springing for it.

    @Jon Godwin Why was GPPT not an option? As far as I know it is a valid solution for every GP customer globally.

    Administrator tools is only $500 a year, less than a coffee per day.

    PS: The user activity tracking has only been added recently to the unreleased build 26 of GPPT.

    In all fairness, it's not that it wouldn't work for us. It was that I couldn't get buy-in for the tool from the powers that be. I also was under the misunderstanding that the cost was per license like so many of the tools for GP. I continue to push and I'm sure I'll eventually find the specific tool that will make it amenable to everyone. Apologies if it sounded like I was saying it wouldn't actually work for us.

    @Jon Godwin The pricing for GPPT is an annual subscription for the system and has no per user cost.

    If you want to get buy in just show them the Benefits presentation on https://www.winthropdc.com/products_GPPT.htm#Downloads

    Why don't you install it and use the free 30 day trial period to see what it can do for you?

    Then it's a "no brainer".

    I just realized that you're talking about using stored procedures as data sources in Power BI. I know that it can be done; it's just not something I've done anything with.

    Keep me posted!

    @Jon Godwin, Thanks for your interest in the Power BI GP Admin dashboard.  I need to polish and complete a handful more tiles over the next few weeks, but would be happy to share it in the near future, and possibly even take it to Summit later this year as @Steve Erbach suggested, or do a webinar someday to share the love!   (If only the day job didn't get in the way of this really fun project!......stay tuned.....)
