SmartList Builder Access

    At one time we had SmartList Builder controlled by only the lead PR person and the lead HR person. No one else could create SmartLists. Both people are gone and the PR person today can build a SmartList.  The question I have is do you need to keep SmartList Builder so tightly reined in and if so why? Or do we get some people trained on the software and let them loose?   Curious as to what other orgs do.

    This answer depends on many factors, but most people who run Payroll through GP keep it locked down.

    The short answer is that with training most all users can benefit from SmartList Training, but the need to BUILD a smartlist using the Builder should be reserved to just a few.

    The reason for this, in my view, is because a query against the tables through the builder that is not built right can tie up tons of technical resources and cause GP to crash or seriously slow down.

    The biggest risk, IMO, is that once given rights to build, a user can delete any smartlist they have access to.
    We have given access to our HR and Accounting personnel. 90% of the time, however, they will request IT create the smartlist.
    Most of them are not familiar with how to navigate Product, Series, etc to find the correct files/tables they need for the smartlist, especially in the case of multiple joins.
