Removing mandatory "Customer PO Number" from Sales Transaction Entry

  • 1.  Removing mandatory "Customer PO Number" from Sales Transaction Entry

    Hello,

We have several companies on the GP platform. In one of our companies, the Customer PO Number bolds (making it a required field) after we choose 'Invoice' for the type, and then select 'STNDINV'. This is not the case in our other companies. We would like to remove this required field as it's not a feature we use for this company's sales.

How do we get this field to not be a required field?

    Sales Window

    Thanks for the assistance.

    Hi @Kalen Grasis

Someone at some point made the decision to make this field REQUIRED in this one company.

You can likely (LIKELY) control this by looking at your User ID is Administration>Setup>User Security to see what "Alternate Modified Forms and Reports ID" is at the bottom of that windows screen for the company in question (use the company dropdown to see).

You'll Likely find that it is a different Alternate Modified Forms and Reports ID and that is when you can then go to:

    • Administration>Setup>User Security use the dropdown at "Type" and change it to "Windows",
    • then go to Sales in the Listing, find the Sales Document and change it back to using GP's out-of-the-box option
      • (or the option the other companies are using - look at those Alternate and Modified Forms and Reports windows to figure out which one the other companies use.

To Caveat, there are many ways to make a field Required and some third party products do it.  Be VERY careful making changes.

    Hi @Kalen Grasis,

Some great advice has already been given by @Jo deRuiter, and I'll just add another item to consider.

GP has a tool called Professional Services Tool Library (often referred to simply as PSTL) that is really a toolbox of a bunch of neat and useful additional tools/functionalities related to GP.  It's a separate install process so if you don't see it it might mean that you either don't have permissions or that it wasn't installed on your workstation depending on how you access GP.

One of those is a Customer PO Number Check Option.  At its core, its used to help prevent duplicate customer PO numbers (i.e. help avoid accidentally entering the same order twice).  The tool itself is pretty flexible, but one of the features is the ability to make the field required.

We just recently had a client who found out they'd had this feature of PSTL turned on for almost 2 years without the (current) staffing realizing it wasn't a out of the box setting.  Might be worth looking into.

    Thanks,

    Samantha

    @Samantha Higdon

I took a look at it and by the looks of her window it must be the PSTL tool!

To turn if off, log in as a PowerUser or the 'sa' in GP - or if your user has rights to PSTL then you are fine to do this.

Open up PSTL and UNcheck the box next to SOP PO Number check to turn this off!

I have never played with that one so I'm really glad this thread popped up!

Thanks for everyone's help. We were able to solve the issue, I believe we needed to run some SQLs but that was managed by our IT staff. Your suggestions really helped us fix our problem though. Thanks again
