Budget

    ​​Hi there, I am new to Budget and am curious if it wrecks anything if I delete old budgets?  It is a very messy screen as we have decades of budgets in this window.  Do they need to be saved year after year?

    Hi Carryn,

    It won't hurt anything, but I would make sure that no one else is utilizing the data before deleting. You never know who might be looking at historical budgets.

    Hi @Carryn Berk,

    What I'm about to say is probably implied/inherently included in @George Kuntz, MSc, but better safe than sorry.... specifically I'd take a realistic look at how far back your company does budget to actual comparisons - SSRS, SmartList, Management Reporter, Prospero, Jet Reports, etc.  Most of these tools will pull from the budget tables to do budget to actual/variance reporting.

    So if you delete the budgets, you might consider doing it on some kind of rolling schedule so you can make sure you have enough historic budgets for the historic/comparative data reporting.   I'd also recommend exporting the budgets or archiving them somewhere (can be external to GP) "just in case."

    Carryn,

    Exporting the budgets out through GP using the budget Excel exporter can be a very slow and painful process.

    here is a link to a script you can use to export all of your historical budgets in a matter of seconds.
    Ask your IT or financial analyst to help you run or install these SQL views.
