    Hello All,

     

    I have to ask the question:

     

    Can a report be built in Management Reporter Report that will show Budget vs Actual vs Purchase Orders Committed once the PO has been approved/printed?

     

    I know there is a PO Committed Report but how do I combine? Or is there an ISV that has created such a report?

     

    I greatly appreciate any feedback.

    Hi Anthony,
    I'm not an accountant and don't know much about the layout of MR reports.. however, I do know that MR2012 has built-in support for Budget numbers, so it's quite easy to create a Budget vs. Actual report that shows the number side-by-side, per period.
    However, the POE commitment is a different story, as it hasn't hit yet any GL account and there is no specific support for that in MR 2012 AFAIK.. Maybe someone from the MSX Group can chime in for some fancy ways of grabbing those numbers from GP tables, or maybe combine it with an Excel source file ? @Derek Krebs or ​​@Noah Moseley maybe ?​

    Hi @Anthony Pearson,

    @Beat Bucher has hit most of the points I was going to make.

    I've done something similar for a client in Management Reporter, but it involved an excel sheet​​ to pull the PO information and then referencing that excel sheet in the MR report.  It's doable, but it will take some finagling and bending MR to your will. :)

    In addition to the MSX team, I'm going to tag @Ernest Trujillo to see if Activ Reporter may be able to do it more efficiently than MR.​

    Hi Anthony.
    Beat is correct. MR only pulls from the GL. Your best best would be pulling the PO info into an Excel file and then having MR pull those balances from the Excel file into the MR report like Samantha mentioned. Its tricky, but doable. Let me know if you need help pulling from Excel to MR.

    GP has 2 features which can help:
    PO Encumbrance or PO Commitments

    When enabled, the system will generate a "live" budget per year and post values into the standard GP Budgets table.
    You will see one of the following types of BudgetIDs showing up alongside your other budgets in the GL00200 & GL00201 tables:
    ENC##@@###Y2020
    or
    COMMIT2020

    You can then simply design a column format for a Remaining to Spend report by laying out Budget, Actual, Commitments, and then a calculated column for Remaining to Spend.

    The system automatically maintains these for you, adding values when a PO is generated and decrements values when a PO is received.
    (there are utilities to force a recalc if it ever goes astray)

    Thank you Zubin  for highlighting those 2 features..
    I've used POE in the past, but I didn't recall the entries about the Budget tables.. However, I recall that POE wasn't really reliable with table updates for the budget (at least back in 2013), as we had to run a POE reconcile every Monday morning since the numbers from the PO's sometimes wouldn't show up.
