Default on Inventory account on purchase orders

    Our company has two parts - distribution part sales and project or integration projects. We currently do not use the project module for GP.

    Our distribution parts are set up as inventory items.

    Our project parts are not set up with an inventory item - they are non inventory.

    Inventory items are posted to one general ledger account, project parts to another.

    My question is: Is there a way to have the non inventory item purchases default to a different general ledger account when the purchase order is created?

    The way I've always done it is to set up some standard items that are used as non-inventory items.  You can set them up by account if that's what they know.  For instance, you can set up an item called "VALVE" and have a default account assigned to that.  The inventory type will be Services or Misc Charges or Flat Fee.  You can still edit the description each time if needed.  It helps with account coding and consistency of what the invoices say.

    You can also set up a default account system-wise under Tools - Setup - Posting - Posting Accounts.

    Hi @Debbie Janssen

    When you say "Non-Inventory" are you referring to the fact you just type them into PO or SO Lines or are you saying they are actually Items that are setup in GP but are not considered "countable" inventory?

    If you set them up as items that are Misc types, these will not be considered countable inventory and you can use the Accounts on the Item card to default them to the Project Parts inventory accounts.
