Receiving Partial Unit

    We have an inventory item with a UoM as "Case"...this is how the PO is issued to the vendor.  We have situations where the vendor will ship partial cases.  GP will not allow us to change the UoM for the receipt when we are matching to the PO.  How is this handled?

    Example, we ordered 2 cases (of 12).  We received a case and a half (or 18 individual items.)  The PO was created with the "Case" UoM.

    Good morning Elizabeth,

    How do you stock this item?  GP has the capability to have multiple units of measure depending on the activity.  The base unit of measure is how you would stock and control the item.  A purchasing unit of measure would be how you buy it and a sales unit of measure would be how you sell it.  It all depends on your business model.

    We use the purchasing unit of measure for a number of the items that buy.  I'm not sure that we can even receive a partial purchasing unit of measure.  Doe anyone know?

    This sound like more of a supplier management issue. If they required the item to be bought in full cases, then shipping partials should not be allowed. How would this be invoiced?

    A quick fix would be to modify your PO, reducing the case line an adding an each line. This, however, requires that the base unit of measure is each and the purchasing unit of measure is case.  You may also experience issues with the supplier invoice depending on how they handles the partial.

    Hi Elizabeth,

    typically, you should have a Unit of Measure schedule such as "Eaches" or "Units" which will contain your different units of measures and their conversion factors.

    E.G. :
    UOM schedule example
    Be careful not to entitle you case of 12 units just "Case" since this schedule is generic, and can then be used for other items in your system.

    Otherwise, you could name the UOM Schedule in a specific name for usage for your item, such as "UNITS_OF_A", then you could use "Case" in the U of M.
    I prefer to go generic, naming my UOM with the number of units in it, but this is up to you.

    Using the Schedules correctly will let you receive in a different UofM included in your schedule, and stock take in another UofM.  Stock will be kept, in GP, under the base UofM, which should be the smallest denominator.

    Elizabeth is correct that you cannot change the UoM for the POP Receipt when  matching to the PO. Thus if the PO  UofM was done as CASE12 and the QTY is 2 she can only receive 1 or 2 cases not 1.5 and she cannot change the UofM to Eaches on the Receipt as the PO was CASE12.

    The solution to partial receive is to set the Item Quantity Decimals to 2 instead of the typical 0 and then set the purchasing option to allow fractionals on the CASE12

    See the screenshot below. That setup will then allow fractional receiving of the CASE12. I would not allow fractionals on the Base UofM but it is allowed.

    Thanks for the info Thadeus !

    I was on the impression we can receive in a different unit of measure.  But since I have 2 decimal places for the quantity, it is probably the reason why my users never complained ;)

    ​GP does allow fractional receipts if set-up to do so. However, the decision to do so depends on how the item is stocked and managed at the item's base unit of measure.  Fractional use for discrete items requires understanding your normal use, consumption, sale of the item and processes.  This may be one of those areas that you find that the system allows you to execute but is inconsistent with business process and policy. This results in hiding a management issue that needs address. In this case, the supplier shipping less than full cases when they sell in full cases.
